Understanding the Student Profile: Calendar, History & Communication Log

Learn what's on a student's profile and how to use it before calling a family. Covers the attendance calendar heatmap, root cause categories, communication log, GPA, behavior timeline, and active interventions.

Overview

Before you pick up the phone to call a family or meet with a student, the student profile gives you everything you need to know in one place. You'll find the attendance calendar, past communication with the family, active interventions, behavior history, and academic context — all pulled together so you can walk into the conversation prepared.

Need-to-Know

This article covers what's on an individual student's profile and how to use it to prepare for family conversations or intervention planning. Use this guide for:

  • Preparing for a parent phone call or meeting

  • Reviewing a student's attendance patterns and history

  • Checking prior AI and staff communication with a family

  • Understanding root causes of a student's absences

Step-by-Step: Navigating the Student Profile

1. Open a Student Profile

Click any student's name anywhere in the platform — from the Students table, the Daily tab, or inside a conversation.

2. Review the Attendance Summary

The top of the profile shows:

  • Attendance rate for the current school year

  • Excused and unexcused absence counts

  • A visual calendar of each day's attendance, with tardies shown as a distinct hatched pattern

3. Check Absence Root Causes

The Root Causes section breaks down why the student has been absent:

Category

Examples

Health/Medical

Illness, doctor appointment, injury

Transportation

Bus issues, no ride, car trouble

Mental Health

Anxiety, depression, school avoidance, bullying

Family Obligations

Caring for siblings, family emergency

Vacation/Travel

Family trip, visiting relatives

Discipline/Suspension

Out-of-school suspension

Other

Court, religious observance, oversleeping

Parent messages have the highest priority for classification, then staff comments, then attendance codes.

4. Read the Communication Log

The communication log shows a full history of all messages exchanged with the family:

  • Edia AI (AI icon)

  • Guardian (parent replies)

  • [Staff Name] (staff messages)

Photos and documents appear as viewable attachments. Non-English messages show the original text plus a blue translation.

5. Explore Additional Sections

Depending on your district's setup, the profile may also include:

  • GPA Over Time — a line chart comparing the student vs. the district average by term

  • Behavior Timeline — chronological incidents (if behavior data is enabled)

  • Active Interventions — tier, type, status, and assigned staff

  • Class Enrollments — classes, teacher, period, and grades

  • School History — enrollment history across schools

How to Use the Profile Before Calling a Family

Take two minutes before the call to walk through these five checkpoints:

  1. Check the calendar — look for patterns. Same days of the week? Consecutive streaks?

  2. Read the communication log — know what the AI and other staff have already discussed

  3. Review root causes — understand recurring barriers the family has shared

  4. Check active interventions — see if a plan is already in place and who owns it

  5. Note the primary contact — confirm you have the right person and the right number

Tips & Troubleshooting

I don't see some of the sections listed above Some sections (like GPA Over Time, Behavior Timeline, and Risk Level) require specific integrations or the AI Attendance Agent. Reach out to your Customer Success Team if a section you expect to see is missing.

The calendar looks empty Confirm the student is actively enrolled and that attendance data is flowing from your SIS.
