Admin Onboarding Guide

This checklist is designed for school and district administrators looking to understand the Admin Dashboard and start monitoring implementation and standards data. Work through each section in order to get your environment fully configured.

Need-to-Know

This article walks admins through account setup, a tour of the Admin Dashboard, and the steps to begin monitoring usage and academic data. Use this guide for:

  • First-time admin account setup

  • Admin Dashboard orientation

  • Benchmark assignment and administration

  • Monitoring implementation fidelity and standards data

Step 1: Create an Account and Request Admin Permissions

Admin setup starts with a standard teacher account. Follow the steps in Creating Your Account to get started, then request a permissions upgrade.

Admin permissions are granted by Edia. To request access, email support@edia.app or contact your Customer Success Manager or Professional Learning Manager.

  • If you were granted access before creating your account, check your inbox for an account creation email.

  • If you already have an account, you still need to request permissions to be upgraded to admin.

You're ready to move on when you can access the Admin Dashboard and see the admin tabs.

Step 2: Tour the Admin Dashboard

Use this section as a click-through orientation. The goal at this stage is to know where everything lives.

Students Tab

Find students at your school or district, open individual student profiles, and sort or filter by proficiency to identify students who may need support first.

Interventions Tab

View active interventions across your school or district. Use filters to verify that interventions are being implemented consistently. You can also create and edit templates so staff have reliable, structured supports to work from.

Math Tab

Choose a subject, grade, or course to review standards performance trends at scale. Drill into teacher-level data to identify where coaching or additional support is needed.

Note: The proficiency line graph requires at least 40 on-grade-level questions per student to display. Keep this in mind early in your rollout when usage is still building.

Benchmarks Tab

This tab is only relevant if your school or district plans to assign benchmarks. Decide whether you'll run benchmarks this year and which windows you'll use (fall, winter, spring). Step 3 walks through the full setup process.

Usage Reports

Check questions answered, assignments posted, and time saved across your schools. Use this view to identify teachers or schools that may need follow-up onboarding or coaching.

You're ready to move on when you can explain what each tab is for and know what action you'd take after reviewing it.

Step 3: Assign and Post a Benchmark

Use this section when your district wants consistent, comparable data across classes and schools.

  1. Switch to the admin view in Edia.

  2. Open Math, then select Benchmarks.

  3. Choose the subject, grade, or course you want to benchmark.

  4. Select the administration window — Fall, Winter, or Spring.

  5. Click Assign, then under "Assign to," select which classes will receive the benchmark.

  6. Set the testing window by entering open and close dates.

  7. Click Save Changes.

Before posting, review your testing settings:

  • Time limit (if applicable)

  • Calculator type: four-function, scientific, or graphing

  • Testing controls such as lockdown mode or a required password

  1. Click Create (or Post or Update, depending on what appears on your screen) to make the benchmark available to students.

Once the window opens, teachers will see the benchmark on their calendar. They can preview the exam and use the three-dot menu to share a link or print a paper copy.

Step 4: Monitor Usage and Standards Data

Set a district expectation first. Communicate the recommended usage target to your schools. We recommend approximately 15 questions with AI math coach support per student per week. Decide who owns follow-up; principals, instructional coaches, or district leads.

Then monitor usage weekly by sorting schools and teachers into these categories:

  • On track: meeting the weekly question target

  • Inconsistent: some usage, but not steady

  • Not started: needs onboarding or direct support

For standards data, use the following to guide instructional support decisions:

  • Using the Standards View to Analyze Student Progress

  • Standard Card Insights

You're in a good place when you have a weekly routine for what to check within Edia and a clear follow up actions.

Tips & Troubleshooting

I don't see the "Switch to admin" option after logging in. Admin permissions must be granted by Edia. Email support@edia.app or contact your Professional Learning Manager to request access.

The proficiency graph isn't showing data. This graph requires at least 40 on-grade-level questions per student. If usage is low or rollout is recent, the graph may not populate yet.

I'm not sure who my Professional Learning Manager is. Contact support@edia.app and the team will connect you with the right person.
