Overview

Automation rules let Edia take action when a student hits a specific attendance threshold — say, 3 absences, 5 absences, or 10. Instead of manually tracking who needs an early warning letter or escalation SMS, you configure the rule once and Edia handles the outreach automatically. This guide covers the six pre-built rules, how to customize them, and a few things to watch out for.

Step-by-Step: Setting Up Automation Rules

1. Open the Automations Tab

  1. Click Attendance in the left navigation.

  2. Click Settings.

  3. Click the Automations tab.


2. Enable "Follow Up at End of Day"

At the top of the Automations tab, toggle on Follow Up at End of Day. When enabled, Edia automatically sends a follow-up to parents who haven't responded to the day's absence notification by end of day.


3. Review the Pre-Built Default Rules

Edia comes with 6 default rules. All are off by default — turn on only the ones you want.

4. Customize a Rule

  1. Click the rule name to open its settings.

  2. Toggle it on.

  3. Customize the following fields:

    • Trigger: Total absences or a specific attendance code

    • Threshold: Number of absences (minimum 1)

    • Time window: School year, semester, quarter, or rolling 30 days

    • Action: SMS, email, or letter

    • Message template: Edit with merge tags (student name, absence count, school name)

  4. Click Save.


5. Add, Duplicate, or Delete Rules

You can create new rules from scratch, duplicate an existing rule as a starting point, or delete rules you don't need. Each rule has a 30-day cooldown per student — after a rule fires for a student, it won't fire again for 30 days to prevent duplicate messages.


How Each Action Works

SMS

Sent from a dedicated trigger number (separate from the AI conversation number). Parent replies get a canned response asking them to call the school — the AI does not engage with replies on this number.

Email

Sent to the parent's email on file from the SIS.

Letter (PDF)

Edia generates a print-ready PDF and emails it to your school's attendance email address. Your team prints and delivers it.


Tips & Troubleshooting

I turned on a rule but it hasn't fired yet Check the 30-day cooldown and the time window. The rule only fires for students who cross the threshold during the selected window and who haven't triggered the same rule within 30 days.

Our chronic absence letters aren't arriving Confirm the school's attendance email is set correctly in Settings and check with your IT team to make sure Edia's emails aren't being filtered.

Can I send a broadcast SMS to all families at once? No. Automation rules fire on a per-student, per-threshold basis. Edia does not support broadcast or mass messaging.
