Overview
When the AI updates an attendance code based on a parent's text — or when you update a code yourself inside Edia — those changes need to make their way back to your Student Information System. This guide explains how codes get updated, when the AI is allowed to do it, and how each SIS handles writeback so you always know where your official record of truth lives.

Step-by-Step: Updating Codes in Edia
1. Open the Daily View
Click Attendance in the left navigation.
Click Daily.
2. Open the Day Detail Popup
Click a student's day cell in the Daily view. The day detail popup opens.
3. Update the Code
Click the code dropdown for any period.
Select the new code.
Optionally add a note.
Use Apply to all to set the same code across all absent periods.
4. Save Your Changes
Click Save. If SIS writeback is supported for your platform, changes sync automatically.
How the AI Updates Codes
When a parent replies with a reason by text, the AI can update the attendance code automatically — but only under specific conditions:
The code must be AI-enabled in your Attendance Codes settings
The absence must be from the last 7 days (older absences require manual staff updates)
The reason must clearly match an approved code

For Platforms Without Automated Writeback
If your SIS doesn't support automated writeback, you have two options:
Option 1: Download the CSV Manually
Go to Attendance → Settings.
Under CSV Export, click Download.
Import the file into your SIS following your district's usual import process.
Option 2: Use the Nightly SFTP Export
A nightly SFTP export runs automatically at 4:00 AM UTC district-wide, pushing the same data. Your IT team can set up a destination for these files — contact your Customer Success Team for setup help.
⚠️ Staff-Uploaded Images
When staff upload a doctor's note or image directly in the dashboard, the AI does not process it or auto-update codes. You must update the code manually based on what the image shows.
Tips & Troubleshooting
The AI didn't update a code I expected it to Check three things: Is the code AI-enabled in Attendance Codes? Is the absence within the last 7 days? Does the parent's message clearly match an approved reason?
My SIS isn't reflecting changes made in Edia Confirm your SIS supports automated writeback (see the table above). If not, download the CSV and import manually.
I need to update an older absence Absences older than 7 days require manual staff updates. Open the day detail popup and update the code directly.
